Renting Policy


In order to make better use of IJSG conference hall facilities in public interest and also to generate some revenue to meet out the maintenance cost of infrastructure at IJSG Conference facilities, the conference facilities may be put to public use under following guidelines.

  • The facilities includes Tables, Chairs, Multimedia, sound system, a mini conference area, a room for serving food, the whole area includes 4 washrooms.

  • Conference facilities may be rented for academic activities, meetings, seminar, workshop/symposium/training etc. and not for any personal or social functions.  

  • IJSG activities/programs will have priority over any other request for rentals.

  • Requisition must be submitted at least 20 days before the date of the activity/event. However, in case of vacancy, request may be accepted at short notice as well.

  • Conference facilities shall not be rented for more than 7 consecutive days.

  • The contracting party shall not be allowed to start using the premises before the authorized rental date and time and will leave the premises by the end of the rental period.

  • The conference facilities should be returned in the same condition that existed at the time of rental. If damages or losses occur, the penalty will be charged from the requisitioning party which shall not be less than the cost of replacing the damaged property

  • The contracting party shall be responsible to follow all the laws of the land and other decorum of using the premises of an international organization.

  • Service of alcoholic drinks and smoking is strictly prohibited in the IJSG premises.

  • Food and drinks are prohibited in the main Conference Hall.

  • The contracting party has to fill up the prescribed requisition Form to be duly signed by the competent authority and to be submitted to IJSG. The scanned copy of the completed Form can be sent to IJSG mail accounts: admin@jute.org, ex.secy@jute.org However, confirmation of reservation shall be accepted only with deposit of the fee in the form of bank draft/ pay order. Reservation through cheques shall be subject to credit of the funds in the IJSG account

  • The bank drafts and the cheques should be drawn in favor of International Jute Study Group, payable at Dhaka, Bangladesh.
  Conference Facilities Rental Fees  
  • The charge for rental of the conference Room for first 3 days is @ Tk 25,000 for each single day and for more than 3 days up to 7 days @ Tk. 20,000 per day will be charged.

  • The daily rental charges are for using the conference facilitates during the office hours that is from 9 am to 5 pm. However, permission can be given to continue the event after this period on mutually acceptable terms and conditions which may involve additional rents for the extra hours.

  • A 100% advance deposit will be required for each requisition request for the Conference Room.

  • Cancellations made at least 7days prior to the rental date will be granted a 50% refund and the balance shall be forfeited.

  • Cancellations made at least 10days prior to the rental date will be granted a 70% refund and the balance shall be forfeited.

  • Cancellations made at least 15days prior to the rental date will be granted a 90% refund and the balance shall be forfeited.

  • A change of rental date may be possible with an advance notice of at least 15 days based on availability of the facilities.

  • In case of booking cancellation by IJSG for any unavoidable reason 100% rental fee without interest will be refunded to the contracting party within seven working days.

  • In case of any dispute the decision of the Secretary General shall be final and binding for both the parties.
